We strongly recommend users continue to use the ISPyB system for sample shipping. Users who do not use ISPyB shipping are solely responsible for their sample arriving and leaving eBIC. Only dry shippers entered into ISPyB will be checked and topped up with liquid nitrogen. All samples must be entered into the UAS and have an approved ERA before they arrive on site.
Once a sample is approved in the UAS system, users can ship their samples to Diamond (eBIC).
IMPORTANT NOTICE
eBIC strongly advise users to ship in advance of sessions and allow enough time for delivery, so that dewars arrive at Diamond in good time before the session start date:
WARNING
Users must ensure dewars are in good condition and will hold LN2 levels before shipping samples to eBIC. If users suspect a dewar is not in good condition, do not send it to eBIC. Only ship dewars that are in good condition. eBIC do not take responsibility of user's samples if the dewar is sub-optimal.
A simple check to know whether a dewar is good enough to send to eBIC:
Fill the dewar up with LN2 to the brim and leave it for 3 days and if the level of LN2 does not go down by much, or not at all, then the dewar is in good condition and can be sent to eBIC. However, if the level of LN2 goes down significantly in the 3-day period, then it is not in a good condition and should not be used to send samples to eBIC. Follow this link for more information on care of dry shippers.
Users need to include any specialist tools for puck systems and grid boxes in the shipper before sending samples to eBIC.

Please make sure that the return airway bill is in an envelope inside the dewar case. If the return airwaybill paperwork is stuck/placed on the outer side of the dewar case or loosely placed inside the dewar case then it may result in accidental disposal or crumpling/tearing of paper.

The following statement needs to be included with HG2 samples: "Contents: Biological substance category B (UN3373) packed on EM support grids. Packed in accordance with (Special Provision A152)."
It is the user's responsibility to ensure that the sample falls within UN3373 regulations and is packaged in accordance with Special Provision A152. The dewar will require labelling as a UN3373 sample. For further information please contact the Diamond SHE group

Instructions how to register a dewar

Dewars need to be registered before shipping to eBIC.
Currently, users are not given access within ISPyB to add/migrate their dewars themselves. If you want to add/migrate a dewar to a proposal please contact the eBIC Local Contact for your allocated session.
Only dewars with Diamond IDs will be eligible for free transport via Diamond's shipping agent.
