Sample Shipping

To send samples to eBIC using DHL courier service within UK:

1. You must create a shipment within ISPyB and add details of your shipment, dewar code and session.
2. You should print and attach ISPyB shipping labels to your shipper box (label1) and dewar (label2) and include label 3 in your shipper box.
3. Generate, print and attach the airway bill.
4. Ship and mark as sent in ISPyB.

Plan to make sure that your dewar arrives at eBIC 4 days before the start of your session.
 

After your session:

1. Request dewar dispatch in ISPyB.
2. Indicate DHL as courier.

The freight charges will be covered by Diamond Light Source when using DHL courier, but we will use Delivered at Place (DAP) Incoterms, meaning that there may be duties and taxes due from the shipping institution. Terms and conditions

To send samples to eBIC using DHL courier service from EU/NI:

1. You must create a shipment within ISPyB and add details of your shipment, dewar code and session.
2. You should print and attach ISPyB shipping labels to your shipper box (label1) and dewar (label2) and include label 3 in your shipper box.
3. Contact EBICadmin@diamond.ac.uk to generate the airway bill. Provide your EORI number and information about the contents of your shipment such as number of falcon tubes, cryo grid boxes, storage puck/s, tools, etc.., to determine its value for the customs declaration. Once we have all the required information it can take us 24-72 hrs to send you the airway bill. So, please consider this time in advance.
4. Print and attach the airway bill supplied by us.
5. Ship and mark as sent in ISPyB.

After your session:

1. Request dewar dispatch in ISPyB.

2. You should print and attach ISPyB shipping labels to your shipper box (label1) and dewar (label2) and include label 3 in your shipper box.
3. You must arrange a shipment to diamond with your courier service.
4. Once you get an airwaybill from your courier, print and attach it to your shipment.
5. Arrange a collection with your courier and mark as sent in ISPyB.
6. Provide a copy of the shipment invoice and airwaybill to goodshandling@diamond.ac.uk

If you have included a return airway bill in the shipment case, please indicate this in the dewar dispatch request. Please make sure that the return airway bill is in an envelope inside the dewar case. If the return airwaybill paperwork is stuck/placed on the outer side of the dewar case or loosely placed inside the dewar case then it may result in accidental disposal or crumpling/tearing of paper.
