User Guide

New users need to contact the Diamond User Office to request access to the User Administration System (UAS). After registration you will be issued with a Fed ID and password for access to all Diamond IT systems.

The first stage of the process is to ensure that everyone who needs to access Diamond is registered in the User Administration System (UAS). Each user only needs to register once. If you have used Diamond previously but since changed your place of work (or any other details), please contact the User Office to update your details.

Please email the Diamond User Office (useroffice@diamond.ac.uk) to register a new user in the UAS.  You will need to provide the following details:

• Title
• Family Name
• Given Name
• Gender
• DOB (dd/mm/yyyy)
• Organisation
• Department
• E-mail 

Following registration, each user will be issued with a Fed ID and password to enable them to access the IT systems at Diamond. Please follow this process regardless of the chosen mode of access as this will enable you to access the relevant beamline for data collection and will give you access to your data.

Please make a note of your FedID and password – these are required for accessing your data.

 Registered users need to be added as investigators to the proposal and to any scheduled session (visit) in UAS for them to have CF/MPL facility and data access.

You can log in to the UAS (http://uas.diamond.ac.uk) using your Fed ID and password.

A Principal Investigator (PI) will be added to the proposal when it is created. The PI is responsible for adding additional investigators to the proposal in the UAS. Go to the proposal “investigators” tab and click “add investigators”.  An explanation of the different investigator roles to choose is explained in the UAS.

User sessions at the CF or MPL facility are being scheduled based on the availability of requested service(s), and require samples to be delivered on-site prior to scheduling. We ask users to inform the Industrial Liaison MX Team (Jitka Waterman) in advance of any requests for CF or MPL service(s), including the number of samples and preferred mode of access (mail-in service, on-site visit with staff support, or on-site visit with initial induction). Once service availability has been confirmed, samples with validated ERAs (see section 3. Sample registration and experimental risk assessment) must be shipped to Diamond. The individual visits/sessions will be created only after samples have arrived at Diamond.

Once your session (visit) has been scheduled, the PI or Alternate Contact (AC) needs to add investigators to the session in the UAS. To do this, go to the proposal “Sessions” tab and select the relevant session. Using the search function, add members to your team who will be involved in the session and who are registered in the proposal. You can also choose whether the team members need on-site or remote access to Diamond. Members that do not require beamline access can be added as “Data Access Only”.

For mail-In experiments, please discuss with the industrial liaison MX team (Jitka Waterman) which members of Diamond staff need to be added to the session (visit). They will be the scientists responsible for performing your data collection. For members of your team added to this session, you will have to select the “data access only” status.

For industrial clients participating in experiments on-site, Diamond does not refund travel expenses; please select 'car' for the travel option. You can also choose if you wish for the Diamond User Office to arrange accommodation for you.

When your team is complete, click 'Submit Investigators'. You can only submit investigators when all of the team listed as on-site users have passed their safety tests.

All samples need to have an Experimental Risk Assessment (ERA) validated by Diamond Safety, Health and Environment (SHE) group prior to shipping.

Details of all items included in the Experimental Risk Assessment (ERA) - Samples and Experimental Methods - must be provided in the User Administration System (UAS). It is the responsibility of the PI or AC to ensure that the ERA is completed fully and accurately, and is validated by Diamond’s Safety Health and Environment (SHE) team prior to shipping samples to Diamond.

You can log in to the UAS (http://uas.diamond.ac.uk) using your Fed ID and password.

An ERA must be submitted for each protein sample and should give details of the sample (or groups of similar samples), any processes required to produce and manipulate the samples, and the relevant experimental method. If lab access is required, this should also be included as part of the ERA.

You can download instructions for completing a risk assessment. 

You will be notified via e-mail once the ERA has been graded by Diamond’s SHE team. For any non-standard requests or complex safety requirements, please contact the Industrial Liaison Office for further advice as far in advance as possible.

Please note that an ERA must be submitted for every experimental session at Diamond, even if you bring the same type of samples more than once. However, a new ERA does not need to be created for previously validated samples. The PI or AC can add already validated ERA items (samples and experimental methods) to the session by clicking “Add from proposal”.

 To enter any Diamond facility, you need to complete an online safety introduction and test.

You can log in to the UAS (http://uas.diamond.ac.uk) using your Fed ID and password.

Under the “home” tab there is a box entitled “Diamond Safety Test”. You will need to click on this button to watch a safety video. You will then need to follow the links to complete an online test.

This is a requirement for on-site visits only. Only once you have passed the safety test will you be able to participate in on-site experiments at Diamond.

You can access the safety video through our website or through our UAS on receipt of your login details.

As the MPL and CF are located within the Research Complex at Harwell (RCaH) - a building adjacent to Diamond - all visitors working on-site will need to also register with the RCaH. Registration and online safety training will need to be completed prior to arrival.

For visitors working more than 2 days a week, a long-term visitor access agreement will need to be completed and relevant on-site training undertaken.
